1. Introduction
LedgerLink is a mobile application and web companion for keeping digital ledgers — for a shop or for personal use — managing inventory, generating bills, and sending polite WhatsApp payment reminders. This Privacy Policy explains how we collect, use, disclose and safeguard personal data relating to the use of LedgerLink.
This policy applies to data we process as a Data Fiduciary for our users and to certain processing we perform as a Data Processor on behalf of business users.
2. Information we collect
We collect information necessary to provide the Service, including:
- Account & contact data: Name, mobile number, email (optional), business name, address.
- Contacts & ledger entries: Names, phone numbers and ledger balances you record for customers and suppliers.
- Transaction records: Dates, amounts, item descriptions, invoice records and bill PDFs generated in the app.
- Device & usage data: Device model, OS version, app version, crash logs, analytics events.
- Media & storage: Images or documents you upload (e.g., bills, product photos).
We do not collect or store raw card numbers or CVV codes; payments are processed by Razorpay.
3. How we use your data
We use data to:
- Provide and operate the Service (store ledgers, generate bills, send reminders).
- Process payments and subscriptions via Razorpay.
- Send transactional messages (WhatsApp reminders) where you opt to use that feature.
- Improve and secure the app (analytics, crash reports, fraud detection).
- Comply with legal obligations and respond to lawful requests.
4. Sharing and disclosure
We share information only with:
- Service providers: Razorpay, hosting and analytics providers, WhatsApp messaging providers.
- Legal requests: Courts, regulators, or law enforcement where required.
- Business transfers: In the event of a merger or sale, subject to notice.
We do not sell personal data.
5. Data retention
- Account data: Retained while your account is active and for a reasonable period after termination to support audits, tax and recovery.
- Transaction logs & invoices: Retained for tax/audit compliance (typical retention 5–8 years).
- Soft delete: Deleted records are soft-deleted and permanently removed after our retention window.
6. Security
We apply reasonable technical and organisational measures: TLS in transit, encrypted storage where appropriate, and Row Level Security for tenant isolation in our backend.
7. Your rights
Where applicable, you may request access, correction, deletion, portability, or lodge a grievance with our Grievance Officer using the contact details above.
8. Children's data
The App is intended for adult users (18+). We do not knowingly collect personal data of children.
